The Basics

Please avoid loose glitter, non-biodegradable confetti, fake petals, and rice anywhere on the property. Outdoors, use only real flower petals. Do not tape or nail décor to historic surfaces without prior approval. Enclosed candles are fine indoors; open flames are otherwise discouraged.

Outdoor amplified music and speeches must end by 10:00 PM. You may continue indoors with Extra Party Hours. Without an extension, events typically wrap around 10 PM with a staff-coordinated last call and send-off.

Yes — Rixey is pet-friendly with prior written notice. Pets must be supervised and leashed or crated as appropriate. We can recommend local pet sitters and help plan a pet-friendly ceremony moment.

Absolutely. Please plan active supervision for children at all times — there are stairs, a rooftop, and a pond. We can set up a kids' lounge or movie space and share babysitter recommendations if helpful.

Yes — please purchase a one-day event liability policy naming Rixey Manor as additional insured. It's affordable and protects you, your guests, and us. We'll provide timing and minimum coverage details.

Smoking and vaping are permitted outdoors only in designated areas with ash disposal provided. No smoking inside any building.

Yes — free on-site parking with signage. Because rideshare is unreliable in the countryside, we strongly recommend hotel shuttles for guest safety. Overnight cars are fine to collect the next morning.

We handle venue setup, breakdown, and heavy cleanup including trash removal. You and your vendors gather personal décor, gifts, leftover alcohol, and rentals to a designated spot; we coordinate pickup and handle the rest.

Wedding-safe sparklers are allowed under staff supervision. Fireworks — consumer or professional — are not permitted on the property.

Yes — please schedule all visits in advance so we can give you our full attention and protect overnight guest privacy.

Pricing

Sign the contract and pay the first installment (non-refundable retainer) within the stated window. Once booked, we remove your date from availability and turn away other inquiries.

Typically three installments: deposit at booking, a midpoint payment, and a final payment due 3 months before the wedding. We can discuss a personalized cadence as long as the balance is cleared by the final due date.

Payments are generally non-refundable if you cancel, as we hold your date and invest staff time. We recommend wedding cancellation/postponement insurance for extra protection.

Contact us as soon as possible. We aim to accommodate a one-time date move (subject to availability and seasonal pricing). All paid amounts typically transfer to the new date per contract terms.

Yes — please purchase a one-day event liability policy naming Rixey Manor as additional insured. We'll share minimum coverage details and timing.

No hidden venue fees. We do not charge corkage or cake-cutting fees. The only bar-related cost is our in-house bartending service when alcohol is served.

A small refundable deposit or card on file may be required per contract. Nearly all couples receive full returns after a quick post-event check.

We'll schedule a walkthrough 1–2 months out, collect your vendor list, insurance certificate, and final guest count, and finalize the timeline. We provide prompts and templates to keep this simple.

Ask about off-peak, weekday, short-notice, and Military/First Responder considerations. If applicable, we'll reflect these in your proposal.

Major credit cards, bank transfer, and checks are accepted. Use whichever is most convenient, ensuring payments arrive by their due dates.

Getting There & Logistics

Approximately 60 miles from Washington DC — about an hour depending on traffic. Dulles (IAD) is roughly 60 minutes; Charlottesville (CHO) around 45 minutes. Culpeper also has an Amtrak stop for regional travellers.

We recommend hotels in Culpeper — Holiday Inn Express, Hampton Inn, and Best Western are all close by. Nearby Airbnbs are also popular. Consider setting up a room block and sharing details in your wedding website or welcome guide.

Couples arrange their own shuttles, and we strongly recommend them — rideshare is unreliable in the countryside. We'll share trusted providers and suggested schedules.

Yes. Guests may leave vehicles overnight and collect them the next morning — safety first.

Local wineries and breweries, Blue Ridge hiking, boutique shopping and dining in Culpeper, and regional day trips to DC, Charlottesville, and Shenandoah. We can provide a ready-to-share guide for out-of-town guests.

Yes. Climate-controlled interiors, ADA-friendly main areas, indoor restrooms, water and lemonade stations in summer, heaters and blankets in cooler months, and Wi-Fi throughout. Our team is on hand to help.

We can coordinate welcome bag hand-off with hotels and provide a checklist — maps, snacks, itinerary, shuttle info. We'll share a printable template you can customise.

Encourage guests to arrive 20–30 minutes early — country roads, parking, and greeting time all add up. Provide clear directions and shuttle times on your wedding website.

Yes — Wi-Fi is available throughout the property. Most carriers have service outdoors, though historic walls can limit indoor cell signal. Wi-Fi calling works well as a workaround.

Yes — Culpeper has salons, pharmacies, grocery stores, and a hospital nearby. We can share a local services list for out-of-town guests.

Food & Drink

Yes — Rixey is BYOB with no corkage fees. You supply the beer, wine, and spirits and we handle professional service.

Yes. For safety and compliance, our in-house licensed bartenders must staff the bar. Outside bartenders and self-service are not permitted.

At least two bartenders are required for any wedding. We generally recommend one per 50 guests for full-bar service and will confirm the right count for your event.

Absolutely. We'll help plan quantities and a drink menu — beer/wine only or full bar, plus signature cocktails. We can also suggest local Virginia wines and beers.

Coordinate glassware, mixers, garnishes, and ice with your caterer or rental company. We'll provide a checklist and quantities so nothing is missed.

We have a built-in bar with taps for kegs and a wine fridge. A satellite bar for cocktail hour is also possible — ask us about layout options.

We typically announce last call about 15 minutes before the end of your event. Outdoor service ends at 10:00 PM; you can extend indoors with Extra Party Hours if desired.

Yes — signature cocktails are encouraged. Provide the ingredients and we'll make them. Staffed tasting stations (e.g. whiskey) are also possible.

We allow shots and drinking games within reason — at the absolute discretion of our coordinator and bartenders. Our priority is a safe, enjoyable celebration for everyone.

Unopened (and many opened) bottles are yours to keep. Our team will pack them for safe transport or next-day pickup if you're staying on site.

Vendors

Your on-site coordinator manages the master timeline, rehearsal, vendor communication, cueing for ceremony and reception, and day-of problem-solving — so you can be a guest at your own wedding.

Yes. The coordinator and venue team handle setup, guest support, and cleanup. Bartenders run the bar. We're with you from setup to send-off.

Not for day-of — our coordination covers that. If you want full-service planning and design support, ask about our upgrade or hire an outside planner; we collaborate happily.

Yes — choose any professional vendors: photographer, florist, DJ or band, caterer, and more. We provide a vetted recommendation list upon request. No commissions, just teams we trust.

Vendors should be licensed and insured where applicable and agree to venue rules — no confetti or glitter, outdoor sound cutoff at 10 PM. We collect certificates of insurance and confirm details in advance.

We coordinate arrival windows and loading areas. With advance approval, drop-offs the day before and pickups the next morning are possible to simplify logistics.

We problem-solve quickly — leveraging our network, backups, or on-site solutions — so your celebration stays on track.

Yes — on-site parking and access for load-in. Power is available throughout the venue. We'll discuss any special electrical needs (bands, lighting, tent installs) in advance.
