Key Contract Points & Payments

Your contract is the roadmap to a smooth celebration—clear, fair, and transparent. Here are the essentials in plain English.

Securing Your Date: Sign the contract and pay the first installment (non‑refundable retainer) within the stated window to officially reserve your date. Once booked, we turn away other inquiries for that date.

Payment Schedule: The venue fee is divided into installments (deposit at booking, a mid‑point payment, and a final payment due three months before the wedding). We can discuss a personalized plan as long as the balance is cleared by the final due date.

Cancellations & Rescheduling: Payments are generally non‑refundable if you cancel. If you need to reschedule, contact us as soon as possible—we’ll try to accommodate a one‑time date move (subject to availability and season). We recommend wedding cancellation/postponement insurance for extra protection [Insert link placeholder]. If the venue cannot legally host, you receive a refund or a reschedule option as outlined.

Insurance & Liability: A one‑day event liability policy naming Rixey Manor as additional insured is required; it’s affordable and protects you, your guests, and us [Insert link placeholder].

What’s Included & Required: The contract lists included amenities (access time, coordinator, tables/chairs, etc.) and any add‑ons you choose. Our in‑house bartending team is required when serving alcohol. We don’t charge corkage, cake‑cutting, or hidden venue fees.

Planning Milestones: We’ll schedule a walkthrough 1–2 months out, collect your vendor list, insurance certificate, and final guest count, and finalize the timeline. Communication is key—we’re here to help with clarity at every step.

Discounts & Specials: Ask about off‑peak/weekday, short‑notice, and Military/First Responders considerations. Any applied discounts will be reflected in your contract and proposal.

How do we officially book our date?

Sign the contract and pay the first installment (non‑refundable retainer) within the stated window. Once booked, we remove your date from availability and turn away other inquiries.

What does the payment schedule look like?

Typically three installments: deposit at booking, a midpoint payment, and a final payment due 3 months before the wedding. We can discuss a personalized cadence as long as the balance is cleared by the final due date.

Are payments refundable if we cancel?

Payments are generally non‑refundable if you cancel, as we hold your date and invest staff time. We recommend wedding cancellation/postponement insurance for extra protection [Insert link placeholder].

Can we reschedule our wedding?

Contact us as soon as possible. We aim to accommodate a one‑time date move (subject to availability and seasonal pricing). All paid amounts typically transfer to the new date per contract terms.

Do you require event liability insurance?

Yes—please purchase a one‑day event liability policy naming Rixey Manor as additional insured. We’ll share minimum coverage details and timing [Insert link placeholder].

Are there hidden fees (corkage, cake cutting, service)?

No hidden venue fees. We do not charge corkage or cake‑cutting fees. The only bar‑related cost is our in‑house bartending service when alcohol is served.

Is a damage/security deposit required?

A small refundable deposit or card on file may be required per contract. Nearly all couples receive full returns after a quick post‑event check.

What planning milestones should we expect?

We’ll schedule a walkthrough 1–2 months out, collect your vendor list, insurance certificate, and final guest count, and finalize the timeline. We provide prompts and templates to keep this simple.

Do you offer discounts or special considerations?

Ask about off‑peak/weekday, short‑notice, and Military/First Responders considerations. If applicable, we’ll reflect these in your proposal/contract.

What forms of payment do you accept?

Major credit cards, bank transfer, and checks are accepted. Use whichever is most convenient for you, ensuring payments arrive by due dates.
