Guest Comfort Tips

Guest Comfort Tips

We want your guests to be comfortable and have a great time from start to finish. A few simple considerations can go a long way in enhancing guest experience:

  • Hydration is Key: Ensure water is readily available to guests throughout the day. For the seated dinner, have water glasses at each place setting and don’t cut off water service – it keeps the tables looking elegant and helps prevent anyone from overindulging on alcohol. Also consider having water or lemonade dispensers during cocktail hour, especially on hot days. Hydrated guests = happy guests.

  • Welcome Refreshments: It’s a lovely surprise for guests to be greeted with a refreshment upon arrival. On hot summer days, think pre-ceremony lemonade or iced tea on the front porch as guests walk in. In cooler weather, a warm cider or hot chocolate station before the ceremony can be a cozy touch. We can set this up with your caterer. It immediately makes guests feel cared for and comfortable as they wait for the ceremony to begin.

  • Adequate Staffing: This might not seem like a “guest comfort” item at first, but having enough service staff absolutely affects guest experience. For example, at least 6 catering staff for a 100-person wedding is recommended so that tables are served and cleared promptly. When staffing is sufficient, guests never have an empty water glass, dirty plate left in front of them, or a long line at the bar. Talk to your caterer (or us) about the staffing plan – it’s worth ensuring they’re bringing enough people so that service is smooth and your guests feel attended to. We can help advise on this based on your guest count and meal style.

  • Comfort Items (Weather Dependent): Think about the forecast and time of year. For summer weddings, provide things like program fans, parasols, or sunscreen for an outdoor ceremony. In winter or fall, consider space heaters, lap blankets, or wraps for an outdoor cocktail hour. Even a basket of inexpensive flip-flops near the dance floor for tired feet can be a hit. While these specific ideas weren’t in your documents, they’re small touches you can choose to add if budget allows.

Overall, put yourself in your guests’ shoes: a little shade, a little warmth, a drink in hand, and attentive service. Those are the ingredients for a comfortable guest experience. We’ll work with you and your vendors to achieve this effortlessly.
